Organization Admin
Owns workspace administration, Team access, Pipeline configuration, reference settings, currencies, and exports in addition to complete sales management capabilities.
Sales Manager
Can oversee tenant sales work, reassign Leads and Deals, manage team Tasks and CRM history, and archive Contacts and Companies. Administrative Settings and Team membership management remain unavailable.
Sales Executive
Can view tenant CRM records and create core records, while mutation authority for Leads, Deals, Tasks, Activities, and Notes is centered on work they own. They cannot reassign records or administer the workspace.
Who should receive Organization Admin?
Use this role for a small number of trusted people who are accountable for workspace configuration and access. Organization Admins can manage Team membership, workspace settings, Pipeline configuration, reference lists, currencies, and full business exports, as well as CRM sales work.
Do not grant Organization Admin merely because someone needs to see all sales records. Sales Managers and Sales Executives already have the tenant-wide viewing capabilities listed above. Administrative access should follow responsibility for configuration, membership, and exported data.
Typical Sales Manager use
A Sales Manager reviews Pipeline health, manages tenant Leads and Deals, reassigns ownership, oversees team Work Items and CRM history, and archives Contacts or Companies when appropriate. The role supports operational continuity without granting Team administration, settings control, Pipeline configuration, or export access.
Typical Sales Executive use
A Sales Executive creates core CRM records, works owned Leads and Deals, records owned history, completes owned Tasks, and can view the wider tenant CRM for collaboration. Ownership-sensitive mutation remains narrower: they cannot reassign Leads or Deals or edit another owner’s protected work simply because they can see it.
Viewing is not editing
Visibility helps colleagues understand customer context. Mutation authority determines who may change the record. If a user can open a Deal but cannot perform a stage or ownership action, that is normally an intentional role boundary rather than a broken page.
Role review checklist
- Match access to current responsibilities, not seniority alone.
- Keep Organization Admin membership limited and active.
- Reassign important owned work before deactivating a member.
- Review a role change before confirming its impact.
- Never share accounts to avoid creating the correct membership.
