Deals & pipeline

Create & manage Deals

Create opportunities, maintain commercial details, assign ownership, and progress Deals responsibly.

Create a Deal

Open Deals → Add Deal or use Quick Create → Deal. Enter a clear title, select the active Pipeline and initial OPEN stage, add value and currency, and connect the relevant Company, Contact, owner, or originating Lead when supported.

Commercial information

The form supports expected close information and proposal details including sent date, URL, notes, and expected decision date. Use these fields only when they describe the real sales process.

Ownership

Organization Admins and Sales Managers can manage tenant Deals and reassign ownership. Sales Executives can manage their own Deals. All roles with Deal access can view tenant Deals under the current product rules.

Progress and closure

Move an OPEN Deal to another active OPEN stage as work progresses. Mark it Won when secured. Mark it Lost with an active Lost Reason and optional Lost Note. Reopen a Won or Lost Deal only when the opportunity genuinely resumes.

Create a Deal

Open Deals and choose Add Deal, use Quick Create → Deal, or convert a qualified Lead. Give the opportunity a title that describes the expected engagement, such as Corporate Website Redesign, rather than a vague label such as “New project.”

Select the appropriate Company and Contact when known. The Contact must be consistent with the selected Company. Choose an eligible owner, Pipeline and active stage, then add amount, currency, expected close date, proposal information, and expected decision date when those facts are available.

Keep commercial details current

Update value when the commercial scope changes, but do not overwrite useful proposal or decision context with unrelated notes. Amount is stored as an exact decimal with its currency; the CRM does not perform foreign-exchange conversion. Expected dates are planning information and should be revised when the customer provides better information.

Move stages with evidence

Before moving a Deal, ask what occurred. A Proposal stage should mean the proposal was actually shared; Negotiation should mean commercial terms are being discussed. Create the next Task or Follow-Up at the same time so the stage change leads to action.

Common mistakes

  • Creating a Deal before the enquiry is qualified.
  • Selecting a Contact that does not belong with the Company.
  • Advancing a stage because time passed rather than work being completed.
  • Marking Lost without a meaningful reason.
  • Leaving an OPEN Deal without an owner or next action.
