Contacts

Create & manage Contacts

Add people, connect them to Companies, and preserve customer context through archiving.

Create a Contact

Open Contacts → Add Contact, or choose Quick Create → Contact. Enter the person’s name and useful job, email, and phone details. Select a Company when the relationship is known.

Company relationships

The selected Company must belong to the current workspace. Leaving Company empty is supported. If a person changes organizations, update the relationship only when that accurately reflects the customer record you want to maintain.

Edit and archive

Use Edit for supported Contact details. Archive a Contact when it should no longer appear as active, while retaining its historical CRM relationships. Restore it if the relationship becomes active again.

Duplicate awareness

The create and edit workflows can check for likely existing Contacts. Review warnings carefully; duplicate awareness supports judgment rather than replacing it.

Before creating

Search for the person and review duplicate suggestions. Confirm the spelling, business email, phone presentation, and Company. A Company is optional, so leave it empty rather than linking an uncertain relationship.

After creating

Use the Contact in the appropriate Deal or customer relationship. If a Deal also has a Company, the selected Contact must be consistent with that Company. Relationship validation protects the workspace from mismatched customer context.

Update supported identity details when they genuinely change. Do not use the Contact record as a running conversation log; add important interactions to the appropriate Lead or Deal history.

Archive when the Contact should no longer be offered for active use but historical relationships still matter. Restoring returns it to active use. Sales Executives may create and update Contacts, while archive and restore require the broader capability held by Sales Managers and Organization Admins.

Common mistakes include creating a second Contact because punctuation changed, selecting the wrong Company from a similar name, and archiving a person without checking active Deal relationships.
