Set up your CRM

Invite your team

Invite colleagues securely and assign the right WebPro CRM role for their responsibilities.

Only an Organization Admin can manage Team access. The invitation workflow sends a secure email invitation; the administrator does not set the invited user’s password.

Send an invitation

Open Team, choose Invite Team Member, enter the colleague’s email, and select Organization Admin, Sales Manager, or Sales Executive. Review the role before sending.

Invitation states

Pending invitations can be resent or revoked. Accepted, revoked, and expired invitations remain distinct states so the team can understand what happened.

Manage active members

Organization Admins can change roles and deactivate or reactivate memberships. WebPro CRM prevents deactivating or demoting the last active Organization Admin, protecting continued administration access.

Choose the role before inviting

Use Sales Executive for a person who works primarily on Leads, Deals, follow-ups, and customer history they own. Use Sales Manager for someone who must oversee and reassign tenant sales work. Reserve Organization Admin for people responsible for Team access, workspace configuration, Pipeline settings, currencies, reference lists, and full business exports.

Seeing shared sales records does not require Organization Admin access. Start with the least powerful role that supports the person’s responsibilities and change it later when responsibilities genuinely change.

After sending

The invitee receives a secure link and establishes their own password. Until acceptance, the invitation remains pending. If the email was missed, verify the address before resending. Revoke the invitation if it was sent to the wrong person or access is no longer needed.

Once accepted, confirm the membership is active and assign CRM ownership deliberately. Creating a membership does not automatically transfer Leads, Deals, or Work Items from another person.

Offboarding safely

Before deactivation, review active Leads, Deals, and Tasks owned by the member. Reassign important work first so customer follow-ups do not lose a responsible owner. Deactivation removes active access but should not be used as a substitute for cleaning up ownership.

Never invite a shared mailbox as a way to let several people use one account. Individual memberships preserve accountability and make ownership meaningful.
