Contacts

Contacts overview

Use Contacts to maintain individual customer relationships independently from early Lead qualification.

A Contact represents a person your team works with. Contacts can be linked to a Company, used on a Deal, and shown in customer Timeline context.

When to use a Contact

Create or connect a Contact when a person is part of an established customer or opportunity relationship. Lead conversion can create or connect the appropriate Contact as the opportunity becomes a Deal.

What a Contact stores

Contacts support first and last name, job title, email, phone, and an optional Company relationship. A Contact without a Company is valid.

Lifecycle

Contacts can be archived and later restored. Archived Contacts remain available for historical context but are not treated as active selections for new relationships.

Open a Contact to review its details, connected Company, Deals, Notes, Activities, and Timeline where available.

When to use a Contact

Create a Contact for a known person whose identity should remain available beyond one early Lead conversation. A Contact can exist without a Company, but linking the correct Company helps colleagues understand the business relationship. Several Contacts may legitimately belong to one Company.

Contacts and Leads are different. A Lead captures an enquiry that needs qualification; a Contact represents a person. Lead conversion can connect the appropriate customer relationships without replacing the originating Lead history.

Useful contact quality

Use the person’s recognizable name, job title, email, and international phone format. Confirm the Company relationship instead of selecting a similarly named business by assumption. Check duplicate-awareness feedback before creating another Contact with matching identity details.

A good Contact record answers who the person is, where they work, and how the team may reach them. Sales conversation history should remain in the relevant Lead, Deal, Activities, Notes, and Timeline rather than being placed in the name or job-title fields.
