Data ownership & tenant isolation

Understand how WebPro CRM separates workspace data and why role-aware access matters.

Each CRM business record belongs to one workspace. WebPro CRM resolves the current workspace from the signed-in user’s active membership and scopes records, searches, relationships, mutations, and exports accordingly.

What this means for users

  • Confirm the workspace before entering customer data.
  • Never share accounts between people.
  • Assign the least powerful role that supports a colleague’s work.
  • Remove or deactivate access promptly during offboarding.
  • Treat exported CSV files as customer business data.

Role and ownership

The role controls broad capabilities. Ownership adds record-level responsibility for Sales Executives and selected workflows. Hiding a navigation item is not the only protection: WebPro CRM also validates access on the server.

Data should not be copied casually

Keep real customer data out of training workspaces and unapproved spreadsheets. Use the dedicated export feature only when there is a clear business need.

Workspace boundaries

Every CRM business record belongs to a workspace. Authentication, an active membership, role capabilities, and ownership-sensitive rules determine what a person may see or change. Users should never try to move information between workspaces by recreating another team’s record.

Ownership and visibility

The owner identifies responsibility for a Lead, Deal, or Work Item. Some roles can view tenant-wide CRM information for collaboration while mutation remains limited to owned work. Sales Managers and Organization Admins have broader management capabilities where the product defines them.

Handle exported data

CSV export is limited to Organization Admins because the file leaves the controlled application. Store it only in an approved business location, share it with authorized recipients, and remove unnecessary copies according to your organization’s policy.

Keep training data separate

Use only fictional information for training and presentations. Never include real customer or prospect details, employee credentials, or live commercial commitments. Likewise, do not copy training records into a real workspace as though they were business data.

If a record appears missing, first confirm the selected workspace and your role. Do not ask another user to export or copy restricted data as a workaround.
