Getting started

Recommended CRM workflow

Follow a practical sales rhythm from a new enquiry through qualification, follow-up, and a Won or Lost decision.

  1. 1Lead
  2. 2Contacted
  3. 3Qualified
  4. 4Growth Diagnostic
  5. 5Discovery Call
  6. 6Proposal
  7. 7Negotiation
  8. 8Won / Lost

Capture the enquiry

Create a Lead with the contact’s identity, company, source, contact details, and owner. WebPro CRM assigns a Lead Number automatically, such as LD-000128.

Confirm real contact

Move the Lead to Contacted after a meaningful first interaction. Qualification follows when there is enough evidence that the enquiry represents a real potential opportunity.

Progress into a Deal

A qualified Lead can be converted into a Deal. During conversion you can connect or create the appropriate Company and Contact, set ownership, value, currency, and expected close information supported by the form.

Use stages as shared commitments

Move the Deal through active OPEN stages as the work advances. Stage names are configured by the Organization Admin; a common service-sales flow uses Growth Diagnostic, Discovery Call, Proposal, and Negotiation.

Close clearly

Mark the Deal Won when business is secured. Mark it Lost only with an active Lost Reason. A closed Deal can be reopened when the opportunity genuinely resumes.

Begin with a complete enquiry

Capture the person, a usable contact method, source, owner, and enough business context to support the first conversation. The automatically assigned Lead Number becomes the stable operational reference.

Progress with evidence

Mark Contacted after meaningful communication, then qualify when the need and next commercial step are credible. Use Future when timing—not fit—is the issue, and Not Qualified when the enquiry should not proceed.

Convert to commercial work

Conversion preserves the Lead while creating the Deal and appropriate Company and Contact relationships. Deal Pipeline stages are configured by the workspace; they should represent observable commercial progress rather than simply repeating Lead statuses.

Keep the next action visible

At each step, create or update the owned Task or Follow-Up. Record completed interactions as Activities, durable context as Notes, and Work Item outcomes when closing the action. These records should tell one consistent story.

Close honestly

Mark Won only when the engagement is secured. Mark Lost with an active Lost Reason and useful context. Review outcomes to learn, but do not leave stalled opportunities OPEN merely to protect Pipeline totals.

The workflow is a discipline, not a requirement to advance every Lead. Accurate Future and Not Qualified outcomes are healthier than converting unsuitable enquiries.
