First Name and Last Name identify the person and are required by the current form. Add Email or Phone whenever available so the team has a usable contact method and duplicate awareness can help. Company, Job Title, Website, and Lead Source provide business context. The Company value on a Lead is descriptive early-stage information; it is not a reason by itself to treat another person at that business as a duplicate.
Owner selection depends on role. Organization Admins and Sales Managers may assign an eligible active membership. A Sales Executive cannot use the form to bypass reassignment rules.
International phone numbers
Human-friendly values such as +91 99679 79608, +1 415 555 0123, and (020) 7946 0958 are accepted. WebPro CRM preserves the entered presentation while comparing meaningful digits for duplicate awareness.
Example
Rahul Sharma from Acme Commerce Pvt. Ltd. asks about Technical SEO and Digital Marketing after a referral. Enter the available email and international phone number, add his role, select Referral, and assign the colleague responsible for the first response. The system creates the Lead in New status and assigns a Lead Number such as LD-000128 automatically.
If the email or normalized phone matches an existing visible Lead in the workspace, review the warning. Open the existing Lead when it is the same enquiry, or choose Create Anyway when this is a legitimate separate record. The warning is not a validation error.
Before saving
- Identify the prospect with the correct name.
- Capture at least one usable contact method when possible.
- Record business context without putting conversation history in identity fields.
- Select the acquisition source accurately.
- Confirm the responsible owner.
- Review any duplicate suggestion rather than dismissing it automatically.
What happens after saving
The saved Lead receives its immutable Lead Number and opens as a CRM record. Review the header and status, add durable context as a Note or interaction as an Activity when appropriate, and create the next Task or Follow-Up. Mark Contacted only after meaningful communication has occurred.
After saving
- Add context another colleague would need before speaking to the prospect.
- Create a specific next action with an owner and due time.
- Use the Lead Number in internal handoffs.
- Progress the status only when the real-world event has happened.
A good next action is “Review ecommerce website and send SEO findings by Friday.” “Follow up” is too vague to explain the expected work or deadline.
