1. Capture the referral
Create LD-000128 — Rahul Sharma, choose Referral as the Lead Source, record the company and contact details, and assign the Sales Executive responsible for the first conversation.
Record: Lead. Capture: Rahul’s contact details, Acme Commerce, the Technical SEO and Digital Marketing requirement, Referral source, and owner. Next action: schedule the first conversation. Manager view: a new enquiry has a clear origin and accountable owner.
2. Establish the requirement
After contact, mark the Lead Contacted and record the useful interaction as an Activity. Create a follow-up: “Review ecommerce website and requirement document.”
Rahul shares the ecommerce website and explains that organic visibility has fallen. The owner records the interaction rather than placing the conversation in a name or Company field.
Record: Lead plus Activity and Follow-Up. Capture: what was learned and what was promised. Next action: review the website by Friday. Manager view: the Lead is active, not merely marked Contacted.
3. Qualify and convert
Once the need, fit, and next step are credible, qualify the Lead. Convert it into a Deal titled Technical SEO & Growth Retainer, connecting the correct Company and Contact and preserving the originating Lead.
Enter the proposed amount and currency when known, expected close information, owner, and the first appropriate OPEN stage. The conversion keeps LD-000128 as the originating Lead reference.
Record: Qualified Lead, Company, Contact, and Deal. Capture: commercial scope and relationships. Next action: begin the diagnostic work. Manager view: a credible opportunity is now visible in Pipeline.
4. Progress with evidence
Move through Growth Diagnostic after reviewing the business and website, Discovery Call after clarifying goals and scope, Proposal when the recommendation is shared, and Negotiation when commercial details are under discussion.
These are example workspace stages, not fixed product defaults. At Growth Diagnostic, record the review findings and create the Discovery Call task. After the call, preserve decisions in Notes or Activities. At Proposal, add proposal context and schedule the response follow-up. At Negotiation, record the terms still under discussion.
Record: Deal, Activities, Notes, and Work Items. Capture: evidence supporting each move. Next action: always the specific customer or internal action needed to progress. Manager view: the stage, history, and next action tell the same story.
5. Close and follow through
Mark the Deal Won when the engagement is secured. Complete related follow-ups with outcome notes so the Timeline tells a coherent story.
Before closing, verify the final value, currency, customer relationships, and owner. Add the decisive customer interaction and complete the negotiation follow-up with an outcome such as “Commercial terms accepted; onboarding handoff agreed.”
Record: Won Deal and retained originating Lead. Capture: the final outcome and useful handoff context. Next action: complete any remaining sales Work Items. Manager view: the Pipeline reflects a real secured engagement rather than an optimistic forecast.
What makes this journey trustworthy
The Lead status, Deal stage, Activities, Notes, and Work Items each have a different purpose. Used together, they allow another permitted colleague to reconstruct the opportunity without asking the owner to remember every detail. The goal is not maximum data entry; it is enough accurate context to support the next decision.
